How Clients Can Access Video iQ Sessions

Clients have two ways to access their Video iQ (Telehealth) sessions. This guide explains both options and walks through the steps clients need to follow to join a meeting. 

Option 1: Join from the Client Portal

Important: Clients must first be invited to the Client Portal to join Video iQ sessions from there.

All upcoming appointments scheduled for the client will be available in the Client Portal. Clients can see up to 10 upcoming sessions at a time but they can only join the meeting taking place on the specific date. 

For Video iQ appointments, clients will see a Join Meeting button. If there is also an outstanding invoice for that specific session, they will see a Pay Now button as well.

Clients can choose whether to pay the invoice before joining the meeting.

If the Telehealth Meeting Link Paywall is enabled, clients will only see the Pay Now button.

They must pay the outstanding invoice for that session before they can join the meeting.

Option 2: Join Using the Meeting Link Sent by Email

When a new telehealth appointment is created, you can send an Appointment Invitation to the client. The default invitation email in TiQ includes a direct link to join the Video iQ session.

Note: The meeting link can also be included in email reminders when creating custom reminders for your practice.

Clients will need to click the meeting link in the email to request access to the session.

If the Telehealth Meeting Link Paywall is enabled, clients will see the invoice they need to pay when they click the meeting link.

The client must pay the outstanding invoice before they can request to join the meeting.

Joining the Video iQ Meeting

Regardless of whether the client joins from the Client Portal or from the link received by email, they will follow the same steps once they access the meeting.

1. Confirm Their Name

Video iQ will automatically populate the client's name based on the information registered in TiQ. The client can update their name if needed before joining the meeting.

2. Check Device Permissions

The client will be prompted to verify their device permissions. This allows Video iQ to access the device's camera and microphone.

3. Ask to Join

Once the permissions have been checked and Video iQ confirms that the camera and microphone are working correctly, the client can select the option to request to join the meeting.

The client will see: Waiting for the host to allow you to join

The client will remain in the waiting area until the provider accepts them into the meeting.

Important: The Provider Must Start the Meeting First

The provider must start the Video iQ session before the client can join.

If the provider has not started the meeting yet, the client will see: The meeting has not started yet. Waiting for the host to start

NOTE: The process is the same regardless of which device the client uses to join the Video iQ meeting, including a computer, tablet, or mobile device.
