At TiQ, we recognize the importance of tracking pre-authorized services. This guide will walk you through setting up and managing the pre-authorization section in the client's profile, ensuring it accurately counts and applies to appointments scheduled with the designated service code.
Navigate to the Client Profile Editor.
Under the Financial & Insurance Info tab, you can find the Pre-authorized Services section.
Select the Service Code from the drop-down.
Note: You will only see services that have been assigned to your client, to add more services navigate to the clinical tab to select the appropriate codes.
You have the ability to associate multiple service codes to the same pre-authorization by selecting the +Add Service button.
This will allow you to set up multiple service codes under a single pre-authorization number.
Add the Authorization Number and Total Authorized sessions. This information is typically provided on the pre-authorization.
Note: When you enter the total authorized number field for the first time, the remaining services will autofill with the same number.
You can always change the remaining services at a later time.
Select the Start and Expiration date of your pre-authorization.
This will configure the pre-authorization under the same authorization number. To add a separate authorization with a different number, select +Add Additional Pre-Authorization.
After setting the pre-authorization, scroll down and click Save Client Profile to confirm your changes. If you are inviting the client to the portal for the first time, select Submit and Invite to Client Portal instead.
When an event for the client with the associated service code is marked as Attended, the "Remaining Services" count will be deducted.
For pre-authorizations with multiple Service Codes, each time an event with any associated service code is marked as Attended, the "Remaining Services" count will be deducted, regardless of which service code was used.
Expiring Pre-authorizations services can be monitored through the Operational Alerts dropdown in the practice's dashboard.
By selecting Expiring Pre-Authorizations, you will be able to see an overview of the expiring services within the practice.
From the Calendar, when single or recurring event attendance is marked “Attended” and there are only 2 remaining sessions left, a warning pops up.
Note: For events with more than one client, when using the group attendance toggle - the pop up for remaining sessions will appear for each client when you select attended.
If a service assigned is de-selected from a clients profile OR the practice settings, then added back - the countdown of the pre-authorization service will continue. The authorization number entered in this section will autofill box 33 on the clients insurance claim when the client has attended an event with the particular service code.
