Users with the appropriate permissions can configure their practice settings to automatically reopen invoices when an open balance remains after client or insurance payments are applied. This feature helps streamline the invoicing process and ensures accurate tracking of overdue client balances.
When an invoice is automatically reopened, clients will receive an email notification informing them of a new pending invoice available in their client portal.
This guide will walk you through how to set up your practice to enable this automated invoice reopening feature.
From the Navigation Bar, select Practice Manager.
Navigate to the Billing & Payment tab.
Under the “How are client invoices sent” section, toggle on the “Automatically re-open invoices with open balances after payments” option to enable this feature.
Scroll down and select Submit to properly save your updates.
Once this feature is enabled, invoices will automatically reopen when the following conditions are met:
When client and insurance payments are received but an open balance remains, the invoice will automatically reopen.
When an invoice is automatically reopened, it will appear in the “Billing Overview” section of the client's profile. From there, users can collect payments for that specific date of service or manually send the invoice using the arrow icon if needed.
By clicking on the specific date of service, users will be able to collect the payment for the reopened invoice.
Important: When an invoice is automatically reopened, an invoice notification will automatically be sent to the client’s email to inform them of the new invoice.
Additionally, users can manually resend the invoice if needed by clicking the arrow icon and confirming the recipient.
Clients will receive an email notification to selected email.
Once the invoice is reopened, it will appear in the client's profile under the Dashboard section in “Recent Invoices”, with the “Pay Now” button available for the client to make the payment directly.
By clicking the “Pay Now” button, clients will be able to view the remaining balance on the reopened invoice and proceed with the payment
Note: Clients can also access open invoices through the “My Payments” section in their portal.
